This tutorial demonstrates how to create a playbook. There is also a tutorial video on setting up your first playbook here.
Prerequisite
- You have an Amity user with administrator role
Step 1: Create a new playbook
- Navigate to the Settings app and click on Playbooks under the Configuration heading.
- Click the grey plus button on the top right to add a playbook.
- Under Details, enter a name (e.g. "Onboarding"), a description, and an overall deadline for the entire playbook (e.g. 21 days).
Step 2: Lifecycle
- Under Lifecycle, select the Associated Stage for your playbook. For an onboarding playbook, select the "Onboarding" stage.
- Don't forget to check the box that says "Update Account".
- Under Stage Outcome, select the appropriate next stage (e.g. "Adoption").
- Under Next Playbook, you can select which playbook will follow the onboarding one.
Step 3: Stage 1
- Under Stages, click "First Stage" to edit.
- Name your first stage (e.g. "Welcome") and give it a description.
- Fill in the deadline with how many days this stage should take overall (e.g. 2 days).
- Click the grey plus button beside Task Templates to add tasks to your first stage.
- Fill in the description for each task.
- To track the tasks, choose a "type" from the dropdown menu in the task editor.
- Write how many days this task is due in.
- Click Add in the bottom right to create the task.
Here are some example tasks for the Welcome stage:
- Task 1: Send welcome email (due: 1 day)
- Task 2: Send onboarding invitation to key contacts (due: 1 day)
- Task 3: Complete onboarding call (due: 2 days)
- Click Save in the top right to save all your changes to the stage.
Step 4: Stage 2
- Click the grey plus button on the right to add a new stage.
- Fill in the name (e.g. "Set-up"), description, and deadline (e.g. 10 days) like you did for Stage 1.
- Create tasks for the Set-up stage using steps 4-8 from Stage 1.
Here are some example tasks for the Set-up stage:- Task 1: Account configuration setup (due: 5 days)
- Task 2: Account configuration milestone email (due: 10 days)
- Task 3: Team logins sent (due: 1 day)
- Click Save in the top right to save all your changes to the stage.
Step 5: Stage 3
- Create a stage.
- Fill in the name (e.g. "Training"), description, and deadline (e.g. 10 days).
- Create tasks for the Training stage using steps 4-8 from Stage 1.
Here are some example tasks for the Training stage:- Task 1: Schedule champion training call (due: 3 days)
- Task 2: Schedule team training call (due: 5 days)
- Task 3: Send onboarding milestone email (due: 10 days)
- Click Save in the top right to save all your changes to the stage.
Step 6: Stage 4
- Create a stage.
- Fill in the name (e.g. "Complete") and description. In this stage, a deadline and tasks aren't necessary. The stages in your final onboarding playbook may look something like this:
- Click Save in the top right to save all your changes to the stage.
- Click Save in the top right to save all your changes to the playbook.
Bonus Step: Automatically create a play in this playbook
This step is not necessary to create a playbook, but it is useful if you want a play added to the onboarding playbook automatically.
- Navigate to the Settings app.
- Click on Rules under the Automation heading.
- Click on the grey plus button in the top right to bring up the Rule Editor page.
- Name your rule and add a description.
- Under Conditions, set the trigger to "when an account is created".
- Under Actions, set type to "Add a play" and select the Onboarding playbook from the dropdown menu.
- Click Create in the top right corner to save and implement this rule.
